This project introduces an all-in-one, cloud-based Event Management System designed to streamline the planning and execution of milestone celebrations, such as weddings, Bar/Bat Mitzvahs, and private parties. By automating RSVP tracking, seating arrangements, and gift logging, the platform eliminates the stress of event coordination, allowing hosts to focus on their special day.

  • Smart RSVP & Invitation Tracking: Digital invitations are sent directly to guests with real-time response monitoring. The system instantly updates who is attending, who declined, and who is still pending.

  • Intelligent Seating Arrangements: An intuitive drag-and-drop interface that allows hosts to easily assign guests to tables, manage table capacities, and accommodate dietary or social preferences.

  • Gift & Cash Registry Registry (Gift Log): A dedicated financial tracking module where hosts can record and monitor cash gifts and digital presents received from each guest, providing a clear overview of the event’s return on investment (ROI).

Financial Management Module (Gift Log): A quick-logging system used during or after the event to record monetary amounts, automatically linking them to the specific guest and generating a centralized revenue report.

Losing Control of Financial Gifts: It is difficult to track who gave how much on the night of the event. Checks get misplaced, making it hard to calculate if the event covered its costs or to know whom to thank.

The Personas

1. The Organized yet Overwhelmed: "The Do-It-Yourself Hosts"

  • Profile: A young couple planning their own wedding (ages 25–34), or parents organizing a Bar/Bat Mitzvah.

  • Characteristics: Tech-savvy, working full-time jobs, limited on time, and highly budget-conscious.

  • Goals: To reach the event day stress-free, avoid losing money on “ghost plates” (guests who RSVP’d but didn’t show up), and ensure all guests are happy with their seating placements.

  • How the system helps: Provides peace of mind and complete organization. They can view everything on their mobile devices at any given moment, knowing exactly where they stand regarding budget and guest count.

The Professional Coordinator: "The Event/Venue Manager"

  • Profile: An in-house venue manager or an independent event planner managing multiple events simultaneously.

  • Characteristics: Requires maximum efficiency, works under high-pressure timelines, and manages hundreds of guests across various clients at the same time.

  • Goals: To deliver flawless service to the hosts, prevent bottlenecks at the entrance reception, and lock in the exact catering plate count to minimize overhead costs.

  • How the system helps: Allows them to manage the event’s “behind-the-scenes” seamlessly, pull up critical data in seconds, and present a highly professional, real-time status overview to their clients.

  • Status: Married + 4 children (Ages 3, 6, 11, and 14)

    Location: Central Israel

    Traits: Extremely busy, manage a tight schedule, handle everything via mobile, and constantly look for seamless solutions that eliminate “hassle.”

    “We want to celebrate with our friends, but attending an event with 4 kids is a logistical project. We need everything locked down, clear, and simple ahead of time—from seating to the wedding gift.”

    🎯 Goals & Motivations

    • Quick & Accurate RSVP: Easily update the hosts that all 6 family members are attending, including specifying special meal requests for the kids (e.g., kids’ meals, gluten-free).

    • Seating Certainty: Know in advance that they are all seated together at a family-appropriate table (not split up), and that the table isn’t located too close to the speakers due to the toddlers.

    • Effortless Gifting (Cash Gift): Give a generous cash gift on behalf of the entire family (the couple + 4 kids) at the click of a button, without searching for an ATM on the way, buying an envelope, or writing a manual greeting card at the venue while the kids are impatient.

    🛑 Frustrations & Pain Points

    • Cumbersome Group Payments: Digital payment flows that force them to manually calculate how much to give based on the number of guests, or messy interfaces that complicate writing a family greeting.

    • Uncertainty Regarding the Children: The anxiety of arriving at the venue only to discover there aren’t enough chairs at the table for the kids, or that the ordered kids’ meals were overlooked.

    • Cluttered & Confusing Interfaces: Apps that require a lengthy registration process or send too many notifications while they are trying to get the kids dressed and out the door.
